How to Update a CI (Configuration Items) Status in ServiceNow CMDB

This article describes how to update a CIs (Configuration Items) Status to "Retired or Installed" in the ServiceNow CMDB, personalized recommended columns list, and basic filtering to find CI's for your department or organization.

This document is intended for the CI owners/data steward to maintain their CI’s status when they’re decommissioning devices or CIs that are not supposed to be on a Retired state.

 

*Note: CIs that are not discovered for more than 60 days will be set to Retired state.

 

1.) Go to ServiceNow homepage https://ncsu.service-now.com/nav_to.do?uri=%2Fhome.do

or, if the above method did not work, click on this link CMDB CI List .

2.) Once your support group is defined in the CI attributes, you can update your CIs within ServiceNow CMDB: 

In the Filter Navigator box, type "Base items" and then click on "All" under the drop down list or specific class under the "Base Items -> All, Servers, Computer, Workstations, Network Gear, etc.. ".

Tips: Click the star to access it to your favorite list quickly.

3.) The results will be a list view of all Configuration Items with basic column headers (such as Name, IP address, etc..).

It's recommended to add additional columns to personalize your view like (Class, Status(install_status), Department, Support Group, etc..) per your needs. 

To update personalized columns, click the gear icon at the top right portion of the list to view then add the “Status(install_status)" field and be sure you're in the correct Class.

 

4.) In the Personalize Lists Columns window that pops up, select columns from the "Available" list to the "Selected" list by double clicking on the name, or by clicking on the ">" arrow.

If you'd like to reorder the list of selected columns, click on the column name and click on the up or down button to your desired arrangement.

The columns listed in the "Selected" list below are recommended. Click on "OK" when done:

 

 

5.) Your list will update to display the columns you selected under Servers class: (see the example below)

 

6.) The lists view is not filtered yet, and will show all based on the class you selected like the sample below “Windows Servers” in the CMDB.

If you want to see/filter records for something specific, right-clicking on "Installed" or the "Class" and select "Show Matching" under the Status column will return all Servers with the Status of "Installed":

Then you can select the right CI and change the status to Retired or Installed. See the example below, 

Or click the CI name to open the Form view and change the Status field to "Retired or Installed" then click the "Update" button to commit changes.
