The following artificial intelligence (AI) tools have been approved for green (not sensitive) and yellow (moderately sensitive) data as defined by the Data Management Framework. When using these approved AI tools, all data is protected and is not used to train public models. You must use your NC State account with these AI tools. Personal accounts are not allowed to be used with university data.
To leverage red (highly sensitive) or purple (ultra sensitive) data with these approved solutions, you must submit an IT Purchase Compliance (ITPC) request outlining the intended use case. Corresponding assessments and approval by the responsible data steward(s) will be required.
NC State has created Guiding Principles for AI Tools. More information will be added as other tools become available.
Google Gemini
Gemini
- Gemini, Google’s generative AI chatbot, is available at no cost to students, faculty and staff by logging in to gemini.google.com using your NC State account.
- To ensure your data is protected, you must log in with your NC State account. Using your NC State account, Gemini will not use or review your data to train its AI models.
- Starting on August 1st, 2025, new licensing will allow Gemini to be available to unpaid appointments, retirees and generic accounts.
Google AI Pro for Education (requires a paid license)
- Google AI Pro for Education is available to faculty, staff and departments with a paid Google Enterprise license.
- This tool includes integration with Google Workspace apps, such as Gmail, Docs or Sheets, as well as extensions.
- To purchase a license, visit software.ncsu.edu. Requests will be fulfilled as licenses are purchased from the reseller.
NotebookLM
- NotebookLM is available to students, faculty, and staff by accessing notebooklm.google.com using your NC State account
- This tool helps organize and refine your ideas by analyzing documents and providing summaries, explanations, and suggestions.
Vids
- Vids is available to full time students, faculty, and staff by accessing vids.google.com using your NC State account.
- *Vids is not available for temporary, half-time, and other non-full time users
- This tool allows you to create videos easily.

Microsoft Copilot
Copilot

Open AI ChatGPT

- ChatGPT Team is approved for use by faculty, staff and departments.
- This tool uses GPT-4o and includes access to additional features like DALL-E, browsing and advanced data analysis.
- Licenses can be purchased through Open AI.
Grammarly
Grammarly Pro (requires a paid license)
- Grammarly Pro is approved for use by faculty, staff and departments.
- Licenses can be purchased through Grammarly.
Zoom AI Companion Tools
Zoom provides a suite of features that use large-language models to provide interpretive services for a Zoom meeting, such as capturing highlights of important information discussed during the meeting or providing "next steps" based on the discussion at the end of a meeting. Note: Free versions of tools like ChatGPT and Grammarly are not recommended because they use our data to train the public model. Any use of these tools will require ITPC approval. Once approved, these tools can only be used with green (not sensitive) data.
