Beginning fall 2025, all new IT Purchase Compliance (ITPC) requests and renewals will be submitted and tracked through ProcessUnity. ProcessUnity will provide users with more visibility on the status of requests and expedite the annual renewal process.
Before reviewing a request, please reference the ITPC process.
Review Requests
Note: Check Tool Tips throughout the request process for additional assistance.

- Log in to the ITPC tool with your Unity ID and password
- Confirm you are on the Workspace page. If not, select it from the left-hand menu.
- In the Analyst menu, select [Your Group] Reviews (ex: Security Reviews) to display a list of requests relevant to your team.
- Requests in this report will be in the following Assessment statuses:
- Analyst Review: Requires action from your reviewer group.
- With Vendor/With Vendor - Follow-up: Currently under review or follow-up by the vendor but will need action from your reviewer group soon.
- Expand or collapse Filters for additional filtering options.
- Sort by any of the report’s column headers.

- Click the Request ID to open and review the ITPC intake form. The request includes the following tabs:
- Details: Assessment progress and requester-submitted information
- Attachments: Files attached by the requester or vendor
- Related Items: Shortcuts to assessments and vendor information
- Change Log: Request audit details

Review Assessments
From [Your Group] Reviews (or the Related Items tab within the request), click the request’s corresponding Assessment name. The assessment includes the following tabs:
- Details: View assessment details and access reviewer actions
- Attachments: Files attached by the requester or vendor
- Related Items: Shortcuts to assessments and vendor information
- Reports: Access Review Recap and Reviewer Contact Info reports
- Change Log: Assessment audit details


Reviewer Actions
The assessment Details tab includes:
- Approvals: Approve or reject the assessment review
- Add comment: Send internal comments to NC State Reviewers and Requesters.
- Edit: Update Assessment data
- View Vendor Responses: Opens the Assessment Workbench to access:
- Questionnaire: Review the vendor’s responses to your group’s specific questions, if available.
- Assessment Review Report: The most comprehensive default assessment report. Follow up on vendor responses, view Reviewer actions, create new issue, etc. Report column headers can be sorted and filters can be applied.
- If you need to respond to the vendor or add internal comments for specific questions, click the more menu in the Actions column to the right of each question.
- Follow-Up: Add a question/comment for the vendor.
- Analyst Actions: Additional internal tracking methods
- Create Issue: Internal notes about the vendor’s response
- Issues from this Assessment: Additional details for issues
- Follow Up Summary: Additional details for responses submitted to the vendor

- Send Questionnaire: Officially submit your follow-up questions/comments to the vendor. You may need to Exit Workbench and return to the Details tab.
- More menu - Create Issue: Internal notes referencing general assessment issues

Approve/Reject Review
- In the assessment Details tab, click Approvals and select your group from the dropdown menu.
- From the pop-up window, select if you Approve or Reject your group’s review.
- Note: If one group rejects their review, the entire request status will change to Rejected.
- Add any additional comments for the Requester.
- Click OK.

Definitions
Submission Status
- Draft: Request started but not submitted
- Sent to VRLM: Being verified by Vendor Risk and Licensing Management (VRLM)
- More Information Required: Request has been returned to Requester for additional information
- Request Submitted: Request is being sent for necessary team reviews
- Cancelled: Request has been cancelled
Review Status
- Draft: Request started but not submitted
- Sent to VRLM: Request is being verified by VRLM team
- More Information Required: Request has been returned to Requester for additional information
- With Vendor: Vendor is providing information for the review process
- Analyst Review: Pending approval by NC State Reviewer(s)
- With Vendor - Follow-Up: Reviewer has requested additional information from vendor
- Completed - Approved: Request has been approved
- Completed - Rejected: Request has been rejected by one or more approver groups
- Cancelled: Request is no longer active
- Prepare to Send: VRLM preparing request for routing
ITPC Tool Definitions
- Request: Data submitted by the requester for review at the beginning of the ITPC process.
- Questionnaire: Questions for vendors to complete.
- Assessment: Encompasses the entire review process, including approvals.
- Assessment Workbench: Manages the questionnaire responses, including requesting follow-up and creating issues
- Assessment Response Guide: Tracks Assessment Review Report actions including follow-ups, issues, attachments, etc.

- Request Change Log: Audit details for the Request.
- Assessment Change Log: Audit details for the Assessment.
- Assessment Question Change Log: Audit details for question changes.
