Introduction
Many systems on campus depend on a user’s Unity ID to provide access to systems and services, but there is no central mechanism for updating a renamed Unity account (new Unity ID) across all those systems and services. As a result, renaming a Unity ID is a labor-intensive process and is therefore limited to situations where the continued use of their Unity ID creates a significant impact for the student/employee. Please note that renaming a Unity ID may create disruptions in system access; thus, students and employees are encouraged to consider other alternatives to renaming Unity IDs, such as changing preferred or display names in various systems.
- The Unity ID for a rename request will be assigned (not user-chosen) and may not be name-based.
- Students and employees must contact one of the approved central offices specified below to request a Unity ID rename. For all requests approved by a central office, central office personnel will complete formal rename requests and submit them to OIT on behalf of the students/employees.
- Students are those actively seeking an undergraduate or graduate degree.
- Employees include active faculty, staff, and postdocs.
- Changing a Unity ID may cause delays in access to systems or services that are frequently used. To minimize the impact of such delays, it is strongly recommended that a rename request be timed appropriately.
- For example, students are advised to wait until the end of a semester to make a request.
- By default, Unity IDs and associated identification information are visible in the campus directory. As a result, consideration should be given to enabling a privacy block to further protect one’s identity and associated information. If directory information needs to be protected from the public, a privacy block must be submitted as follows:
- Students: See Personal Information and Privacy.
- Employees: Send an email to employeeprivacyrequest@ncsu.edu with "Privacy Block Request" as the subject and the general description of why the privacy block is needed in the body of the email.
- Individuals who are both a student and an employee should submit both a student and an employee privacy block request.
- A legal name change is not required in order to request a Unity ID change, but it may provide an additional level of protection and privacy.
- Legal name changes for students are processed through Registration and Records. See the bottom of the Preferred or Non-Legal Name page for instructions on completing and submitting the request form. (NOTE: Do NOT submit this form or any sensitive information via email.)
- Legal name changes for employees are processed through the Payroll Office. See HR's Legal Name Change in MyPackPortal.
- Individuals who are both a student and an employee must submit both a student and an employee name change request.
Approval for Students
- Student Unity ID rename requests due to typographical errors should be requested through Registration and Records for approval and formal submission to OIT.
- All other student Unity ID rename requests should be submitted to one of the following central offices for approval and formal submission to OIT:
- Counseling Center
- Pride Center
- Office of Equal Opportunity
- Police Department
- Risk Assessment Department
- Registration and Records (Registrar or Associate Registrar)
- Women’s Center
- The following information should be included with the request to the central office:
- User’s current Unity ID
- All components of the user’s legal name (prefix, first name, middle name, last name, suffix)
- Basis for the request
Approval for Employees
- Employee Unity ID rename requests due to typographical errors should be requested through the College/Division HR Office for approval and formal submission to OIT.
- All other employee ID rename requests should be submitted to one of the following central offices for approval and formal submission to OIT:
- Counseling Center
- Pride Center
- Director of Employee Relations, University Human Resources
- Office of Equal Opportunity
- Police Department
- Risk Assessment Department
- Women’s Center
- The following information should be included with the request to the central office:
- User’s current Unity ID
- All components of the user’s legal name (prefix, first name, middle name, last name, suffix)
- Basis for the request
Unity ID Change Request Procedure
- The Central Office Submitter sends a Unity ID change request to accounts@ncsu.edu and includes the following information:
- Subject of “Unity ID Rename Request”
- User’s current Unity ID
- All components of the user’s legal name (prefix, first name, middle name, last name, suffix)
- The Help Desk verifies the following:
- The request contains all the information required.
- The request Submitter is one of those required for the user.
- If the request does not contain the required information, the Help Desk will contact the Submitter to obtain the additional required information.
- The Help Desk routes the request to OIT_IDM_ACCESS_MGMT for processing.
- The Identity and Access Management (IAM) team will contact the student/employee to coordinate the timing of the Unity ID rename and provide the new Unity ID to ensure there are no cultural issues with the proposed Unity ID.
- Once the Unity ID rename is completed, IAM will notify the student/employee and submitter, as well as other involved entities such as SIS, Reporter, Moodle, Transportation, and other campus primes with rename information.
