This article explains how to set up your mailbox in the Call Center system. The steps you follow depend on your mailbox type and prior configuration in the legacy system.
Select the option below that applies to you:
- Dependent Mailbox Owner: If you had a "101" or "2XXX" mailbox in the old system, follow these instructions.
- Extension Mailbox Owner: If you did NOT have a "101" or "2XXXX" mailbox in the old system, follow these instructions.
- Departmental Office: If you are a departmental admin setting up a departmental call handler, follow these instructions.
Dependent Mailbox Owner
Note: Follow this procedure only if you had a "101" or "2XXXX" mailbox number in the old system. If not, use the instructions for Extension Mailbox Owner.
Before you begin
- Set up your PERSONAL voicemail.
- If you haven't done this yet, follow the instructions in the Setup Your Voicemail article.
- Record the personal PIN you create in that process and then return to this page.
- Have the following ready:
- Your dependent mailbox number.
- This is the last FIVE digits of your former "101" or "2XXX" mailbox number (seven-digit number).
- If you need help with this number, send an email to voicemail@ncsu.edu.
- The call handler's FIVE-digit (not seven-digit) extension number.
- Your personal PIN.
- This is the PIN you created when setting up your personal voicemail.
- If you no longer have it, follow the instructions in the Change Your Voicemail PIN article.
- Follow the Call Handler setup directions below.
Call Handler Setup
- Dial 26245 from any campus phone.
- If you get a voicemail account, press * to access the main menu.
- During the opening greeting, press 9.
- When prompted, enter your dependent mailbox number as defined above.
- Enter YOUR personal PIN.
- Enter the CALL HANDLER'S five-digit extension.
- Press #.
- Record the standard greeting. To re-record the standard greeting, press 2.
- You can also record or listen to additional greetings. These are NOT required by default, but will become active if recorded.
Optional Greetings:
- Busy greeting, press 3.
- Closed greeting, press 4.
- Holiday greeting, press 7.
Review Your Recording
- Dial 26245 from any campus phone.
- Press * to reach the main menu if you get a voicemail account.
- Dial the call handler's 5-digit extension.
- Listen to the greeting and test each menu option to verify correct routing.
Extension Mailbox Owner
Note: Follow this procedure only if you did NOT have a "101" or "2XXXX" mailbox number in the old system. If you did, use the instructions for Dependent Mailbox Owner.
Before you begin
- Set up your PERSONAL voicemail.
- If you haven't done this yet, follow the Setup Your Voicemail article.
- Record your personal PIN before returning here.
- Have the following ready:
- Your extension mailbox number.
- This is the last 5 digits of your campus phone number (typically beginning with 3 or 5). It is the ID you used when you set up your personal voicemail.
- The call handler's FIVE-digit (not seven-digit) extension number.
- Your personal PIN.
- This is the PIN you created when setting up your personal voicemail.
- If you no longer have it, follow the instructions in the Change Your Voicemail PIN article.
- Follow the Call Handler setup directions below.
Call Handler Setup
- Dial 26245 from any campus phone.
- If you get a voicemail account, press * to access the main menu.
- During the opening greeting, press 9.
- When prompted, enter your extension mailbox number as defined above.
- Enter YOUR personal PIN.
- Enter the CALL HANDLER'S five-digit extension.
- Press #.
- Record the standard greeting. To re-record the standard greeting, press 2.

Departmental Office
Before you begin
- Set up your PERSONAL voicemail.
- If you haven't done this, follow the Setup Your Voicemail article and record your PIN before returning here.
- Have the following ready:
- YOUR personal mailbox number.
- Your personal PIN.
- This is the PIN you created when setting up your personal voicemail.
- If you no longer have it, follow the instructions in the Change Your Voicemail PIN article.
- The call handler's five-digit extension or mailbox number (where you will record the departmental announcement).
- Your department's routing list with assigned menu options that ComTech emailed to you.
- Create a written script for the departmental announcement using the list.
Example: "You have reached [Department Name]. To speak with [Person/Service], press 1. To speak with [Person/Service], press 2, etc.
Call Handler Setup
- Dial 26245 from any campus phone.
- If prompted for your PIN, press (#) to reach the main menu.
- If logged into a mailbox, press '*' to access the main menu.
- During the opening greeting, press 9.
- Listen for "announcement systems greetings administrator."
- If you hear it, continue to Step 5.
- If not, email Customer Service.
- Enter the 5-digit extension to YOUR mailbox.
- Enter the PIN for YOUR mailbox.
- Enter the CALL HANDLER'S five-digit extension.
- Press (#).
- Record the standard greeting using your script.
- To change the standard greeting, press 2.
Optional Greetings:
Note: These are NOT required by default, but will become active if recorded.

- To change the busy greeting, press 3.
- To change the closed greeting, press 4.
- To change the holiday greeting, press 7.
Review Your Recording
- Dial 26245 from any campus phone.
- Press (#) if prompted for a PIN.
- Dial the call handler's 5-digit extension or mailbox number.
- Listen to the greeting and verify menu routing by testing each option.
Note: If you press a menu option while listening, you will be routed to that person or service.
- If you want to re-record the greeting, repeat Steps 1 through 9 for the Call Handler Setup and then review the new recording.
