Enabling Screen Share in a Zoom Meeting or Webinar


Instructors may wish for students to give presentations with materials during a Zoom meeting. Staff may need to give a presentation to colleagues during weekly staff meetings, or faculty may need to present at a professional organization webinar.  A webinar host may want panelists to share media as part of their presentation.

All of these scenarios are covered by screen sharing, which allows a user to transmit content from their device to the Zoom meeting or webinar.

This article will go over how to enable screen sharing for participants and panelists in Zoom.

Enabling Screen Share in Zoom

The instructions for webinars and meetings are generally the same for enabling screen sharing.

To enable screen sharing during a Zoom meeting:

  1. In the Zoom meeting controls toolbar, click the Host tools icon (which looks like a shield).
  2. In the Allow All Participants to: section of the pop-up menu, check Share Screen.

Following this, participants in the meeting will be able to share their screen.

Advanced screen share settings in a Zoom session

The instructions for advanced settings differs in how it displays to the host of the Zoom meeting.

To enable advanced sharing options—including allowing or limiting multiple participant sharing, and simultaneous sharing—during a Zoom meeting, follow these instructions:

  1. In the Zoom meeting controls toolbar, locate the Share Screen icon (which looks like a green rectangle with an up-pointing arrow).
  2. Click the carat in the top right corner of the Share Screen icon to open the pop-up menu for settings.
  3. In the pop-up menu, select Advanced Sharing Options.
  4. In the menu that appears, under Who can share?, select All Participants (meeting) or Hosts and Panelists (webinar).

Making this change permanent

Changing the above setting only affects the currently active Zoom session.  Ending or joining another meeting would revert the Screen Sharing options back to their default settings. 

To make this change permanent for future meetings:

  1. Log into the NC State Zoom portal.
  2. In the main navigation menu on the left side of the page, select the Settings tab.
  3. At the top of the Settings page, choose the Meeting tab.
  4. In the secondary navigation menu on the left side of the page, select the In Meeting (Basic) category from the list.
  5. Find the Screen sharing field in this category.
  6. Using the slider to the right of the field, enable Screen sharing.

This will enable screen sharing for all future meetings.
