This guide provides step-by-step instructions for using Cisco Jabber, including managing contacts, making calls, starting chats, listening to voicemail, and using advanced features such as call forwarding and conferencing.
Use the sections below to navigate to the feature you need.
Add a Contact
- Click the Gear icon.
- Select File > New > Contact.
- Begin typing the name of the person you want to add. Matching results will populate automatically.
- Select the correct person and click Add.
Optional: To add the contact to a specific group:
- Click the drop-down menu next to Add to.
- Select an existing group, or choose New Group and enter a name to create one.
Organize Contacts
- Click the Gear icon.
- Select File > New > Group.
- Enter a name for the group and click Create.
- To move a contact:
- Rick-click the contact name.
- Select Move to Group.
- Choose the appropriate group.
Control Sounds
- Click the Gear icon.
- Select Options > Notifications.
- Under Sounds, adjust your Chat Message or Ringtone settings.
- Click Apply, then OK.
Start a Chat
- Double-click the contact name you want to chat with.
OR
- Right-click the contact name, then select Chat.
Chat with Multiple People
- Start a chat with a contact.
- In the chat window, click the Add Participant icon.
- Type the name of the person you want to add.
- Click Add.
Note: Group Chat is only available for contacts using ComTech Cisco Jabber service accounts.
Alternative method:
- Hold the CTRL key while selecting multiple contacts.
- Right-click and choose Chat.
Call a Contact
Call a Contact from Your List
- Select the contact.
- Click the Phone icon on the right side of the contact line.
Call a Number Not in Your Contact List
- Enter the phone number in the Search field
OR
- Enter the number in the Call field near the top of the Jabber window.
- Press Enter to dial.
Choose Call Method
To use your computer (softphone);
- Click the drop-down next to the Phone icon (bottom left of the window).
- Select Use my phone for calls.
Long Distance Calls
From Jabber (Windows or MAC)
- Dial 7 + 1 + Area Code + Telephone Number (+ Long Distance Authorization Code if necessary) + # (example: 71512999555123456#)
From the Cisco Jabber Mobile App (iPhone and Android)
- Tap the Calls icon.
- Tap the blue Keypad icon.
- Enter the long-distance number using the required dialing format as shown above.
- Wait for the call to connect.
Access Phone Call Logs
Click the Recents icon on the left side of the Jabber window.
The window displays:
- Incoming calls
- Outgoing calls
- Missed calls - identified with a red indicator
To return a call:
- Double-click the entry
OR
- Right-click the entry and select Call
Right-click options also allow you to:
- Chat with the contact
- Delete the call from the log
Listen to Voicemail
Click the Voicemail icon on the left side of the Jabber window.
If minimized:
- Click the More (…) icon to locate Voicemail.
A red indicator shows the number of new voicemail messages.
To manage voicemail:
- Double-click a message to play it.
- Select the Call Voicemail icon to dial voicemail directly.
- Press Delete to remove a message.
- Right-click a message and select Mark as Read.
Listening to voicemail messages in Jabber will clear the message waiting indicator (MWI) on your desk phone.
Forward All Calls
- Click the Phone icon (bottom left).
- Select Forward Calls to.
- Choose:
- Voicemail
- Enter a phone number to forward all calls.
Share Files with a Contact
- Open a chat window.
- Click the Paperclip icon.
- Browse to the file.
- Click Open to initiate transfer.
Note: The recipient must accept the file transfer before it begins.
Start a Conference Call (Windows)
- Select one or more contacts.
(Hold CTRL to select multiple.)
- Right-click and chooseStart Conference Call.
- In the conference window:
- Click the Phone icon next to each participant to call (one at a time).
- When each participant answers, click Join.
Start a Conference Call (Mac)
- Start a call with the first participant.
- Click Show Actions.
- Select Add Call.
- Enter a name or phone number in the Search field.
- Select the desired number.
- Repeat until all participants are added.
- Click Conference.
Important: Participants are connected individually until you select Conference. They will not hear each other until the conference is established.
Start a Video Conference
Requirement: Both users must have Use Computer for Calls enabled.
- Place a call to the contact.
- Once connected, select Start My Video from the call window.
- The other participant must also select Start My Video.
To test your video settings:
- Click the Phone icon.
- Select Gear icon> Options > Video.
Update or Change Profile Picture
Depending on your account type, update your profile through:
Desk Phone Control Mode
By default, Jabber operates in desk phone control mode.
This allows you to:
- Control your Cisco desk phone from Jabber
- Answer or divert calls from your computer.
Place an Outbound Call:
- Enter a name or phone number in the search field.
- Dial exactly as you would from your desk phone.
- Click the Green Phone icon.
Jabber searches for people’s names in the campus directory and your contact list.
Use Computer for Calls (Softphone mode)
You can use Jabber as a softphone without a physical desk phone.
Requirements:
- Computer speakers and a microphone
OR
- Headset with a microphone
To enable:
- Click the Phone Control icon (bottom left).
- Select Use my computer for calls.
